Exams Coordinator – International Education Centre

Location: Cascais, Portugal

Salary: €20,000–€25,000 gross per annum, depending on experience

Position: Full-time

About the Role

A well-established international education centre in Cascais is seeking a highly organised and reliable Exams Coordinator to take responsibility for the planning, administration and delivery of external examinations.

This is a key operational role requiring exceptional attention to detail, strong organisational skills and the ability to manage examination processes accurately and calmly within strict deadlines.

The successful candidate will coordinate the full examinations cycle, working closely with students, families, teaching staff, senior management and external examination bodies.

Key Responsibilities

Coordinate the complete administration of external examinations, from candidate entries through to results and post-results services.
Manage examination registrations, entries, amendments and withdrawals accurately and within published deadlines.
Liaise with relevant examination boards and awarding organisations.
Prepare examination timetables and communicate schedules, requirements and deadlines to students, families and staff.
Organise examination rooms, seating plans, materials and required documentation.
Recruit, brief and coordinate examination invigilators where required.
Ensure examinations are conducted in full compliance with applicable regulations and awarding-body requirements.
Maintain accurate and confidential candidate and examination records.
Coordinate access arrangements and special examination requirements in collaboration with the academic team.
Manage the secure receipt, storage, distribution and return of examination materials.
Coordinate results days and post-results services, including enquiries, reviews and access to scripts.
Maintain clear records and procedures in preparation for inspections and audits.
Identify potential compliance issues and escalate examination incidents appropriately.
Support the wider administrative and academic operations of the centre when required.

Candidate Profile

We are looking for someone who is:

Exceptionally organised and detail-oriented.
Comfortable managing multiple deadlines and complex administrative processes.
Able to work independently and take ownership of a critical operational function.
Professional and confident when communicating with students, parents, teachers and external organisations.
Calm and methodical when working under pressure.
Highly discreet when handling confidential information.
Confident using digital administrative systems, spreadsheets and online platforms.

Previous experience in examinations administration, school administration or academic operations would be highly desirable.

Experience working with international examination systems such as Cambridge International, Pearson Edexcel or similar awarding bodies would be a significant advantage.

Requirements

Excellent written and spoken English.
Strong administrative and IT skills.
High level of accuracy and attention to detail.
Right to work in Portugal.
Ability to work on-site in Cascais.

Portuguese language skills would be advantageous but are not essential.
