Role Overview
The Document Controller will be responsible for implementing, maintaining, and overseeing document control procedures across engineering projects. The role will ensure that all project documentation remains accurate, traceable, compliant with company and client standards, and readily accessible to authorised personnel throughout the project lifecycle.
Working closely with engineering, design, and project management teams, the successful candidate will play a key role in establishing documentation frameworks from project initiation through to project completion.
Key Responsibilities
Document Management & Control
- Implement and maintain document control procedures and policies across engineering projects
- Ensure documentation complies with company standards, client requirements, and industry best practices
- Support project teams in establishing project documentation frameworks during project initiation
- Facilitate the day-to-day administration of document management systems
Document Accuracy & Compliance
- Coordinate with engineering, design, and project teams to ensure documentation accuracy and completeness
- Conduct regular audits of project documents and drawings
- Maintain document templates and standards across projects
- Ensure compliance with document management procedures and revision control processes
Accessibility, Security & Reporting
- Manage document storage, retrieval, archiving, and distribution processes
- Maintain document registers and revision histories
- Generate reports on document status, revisions, outstanding actions, and compliance metrics
- Ensure documentation remains accessible while maintaining appropriate security controls
Training & Support
- Train project teams on document control procedures and document management systems
- Support the development of documentation templates, libraries, and best-practice processes
- Assist multidisciplinary teams in maintaining project documentation standards
Required Experience & Skills
- Bachelor's Degree in Management, Construction, Administration, Engineering, or a related discipline
- 3–10 years of experience in a Document Controller role within engineering, construction, infrastructure, EPC, MEP, industrial, or mission-critical environments
- Strong understanding of engineering deliverables and document lifecycle management
- Experience managing large volumes of technical and project documentation
- Strong knowledge of document numbering conventions, revision control, transmittals, and document workflows
- Experience establishing and administering document management systems from project initiation
